Sign-off Sheet + QR sorter

Hygiene teams run on paper – weekly cleaning control sheets and training records, printed for the right equipment, signed, then sorted and filed by hand. The filing is the slow, dull part. I made the paper sort itself.

The problem

It's two piles of paper, really. First you print the right sheet for each area, machine or site – fiddly on its own. Then, once everything's signed, someone has to split the pile back into the right documents and file each one. It's an hour of sorting that adds no value and is easy to get wrong.

The solution

One tool prints the sheets and stamps a QR code on every page. A separate offline sorter then does the filing.

  • Print by site, area or single machine from one menu – control sheets or training records.
  • Scan the signed pile back in and the sorter reads each page's QR, groups pages by document, and rebuilds one clean PDF per document.
  • It can't lose a page. It checks a fingerprint of each file before it moves anything, and sends anything unreadable to a review folder instead of guessing.

What changed

An hour of filing became a scan. The document set was built from 26 supplier PDFs into 566 rows, triple-checked with no discrepancies, and 283 of those rows are matched to the equipment IDs in the hygiene system, so the paperwork and the system agree.
